Vendor Contract Tracker

A move runs on a dozen vendor agreements — movers, furniture, IT, audio/visual (AV), cleaning. This tracker is the register of what each one signed up to deliver, by when, and on what terms, so nothing rides on a half-remembered email.

What it’s for

To answer “what did we actually agree with this vendor?” without digging through threads — scope, term, key dates, deposits, and whether it’s signed. It pairs with the Vendor Directory (who they are) by tracking the commitment.

How to use it

  1. One row per signed agreement or SOW.
  2. Capture the key dates that affect your move — delivery, install, start, completion.
  3. Flag anything unsigned that work depends on; that’s a risk to clear.

Tips

  • Unsigned + opening-critical = risk. Don’t let work the opening depends on rest on a handshake.
  • Watch deposit timing. A missed deposit date can quietly bump your delivery slot.
  • Note end dates and renewals for anything recurring — useful at closeout.
