Building Rules Summary
A one-page summary of the building's rules — access, hours, insurance, freight, protection, approvals — captured from your property manager (PM) so the whole team works from the same facts.
Building Rules Summary
After you’ve run the Property Manager Intake Questions, you’ll have a pile of answers. This is where they live: a single page that turns scattered replies into the rules your whole team — and every vendor — can work from.
What it’s for
So nobody has to re-ask the property manager, and nobody guesses. Movers, IT, and furniture vendors all need the same handful of facts — when can we work, what certificate of insurance (COI), how do we get in. Capture them once, share the page, and stop relaying rules one text at a time.
How to use it
- Fill it in from your PM’s answers and any building handbook.
- Mark anything still unknown — an unknown rule is a risk, not a blank to ignore.
- Share it with every vendor in your Vendor Directory, and link it from your command center.
The summary
| Rule | What this building requires |
|---|---|
| Work hours | When work is allowed (weekday/after-hours/weekend) |
| Move hours | When moves are allowed |
| Vendor access | Who approves it; lead time; access form needed |
| Employee access | How cards / mobile credentials are issued |
| Insurance | Required COI language; who’s named additional insured; where to submit |
| Freight elevator | How to reserve; windows; dimensions; weight limit |
| Loading dock | Hours; truck size limit; booking process |
| Protection | Floor/wall protection required; who supplies it |
| Debris | Can vendors use building trash, or must they haul away? |
| HVAC | Standard hours; how to request after-hours |
| Labor | Is union labor required for any work? |
| Approvals | Permits, stamped drawings, inspections, landlord sign-offs needed |
| Contacts | Property manager; building security; emergency number |
Tips
- One page, shared link. If it’s longer than a page, it won’t get read — keep it tight.
- Date it. Rules and contacts change; note when you last confirmed them.
- Unknowns are open items. Move every blank into your Open-Item Tracker with an owner.
